When Tiller pulls transaction and balance data into a sheet the data will remain there even if you unlink the account from the sheet or close the account. If you no longer want to see this data in your sheet you'll need to either remove it manually or in the case of balances for a closed account you can hide it or zero it out.
This preservation ensures users can maintain historical financial records, which are crucial for overall financial analysis or audits. However, users have the flexibility to manually remove or hide this data from their sheets if desired.
Removing the account's data
📺 Video demo below 📺
To remove the Transaction data:
Sort by the Account column. (Tip: turn on a filter to review transactions for only this account).
Clear all the rows of transaction data for the unlinked/closed account.
If you filtered the account column, clear the filter on the Account column by selecting all accounts.
Sort the transactions sheet by the date column, Z > A.
To remove balance data:
Open the Balance History sheet (this is usually a hidden sheet).
Sort by the Account column.
Filter the Account column by the Account you want to remove
Clear the rows of data for the account.
Sort the sheet newest to oldest by the Date column.
Turn off the filter.
Hiding or zeroing out balances
If you have an account that closes sometimes our data provider can't pull in the final $0 balance. You can either hide the account from your Balances sheet or you can create a final $0 entry.
Retaining historical data can help in understanding financial trends and maintaining accurate records, even if an account is no longer active.
To create a final $0 balance
Go to the Balance History sheet (hidden by default, but access via View > Hidden sheets)
Find the most recent balance update row from that account and copy the entire row (right click the row number and choose copy)
Right click the row number and choose Insert 1 above
Paste the row number (right click the row number and chose paste)
Manually edit the details for the copied row to use today's date and change the balance amount to $0
Key Considerations
Tiller does not automatically update or remove data from closed or unlinked accounts; manual action is needed.
Hiding rather than deleting data is a good way to keep historical information intact while maintaining a clean sheet for current financial activities.
